·        Janet M, Chair welcomed all there, led the Serenity Prayer, and asked all tell their name, town from, and position,

·        Charlotte M., Co- chair read the Twelve Steps; Jean L. read the Twelve Traditions

·        Janet M. read Concept 6 and explained what this meant to her.

·        All observed the 7^th Tradition

REPORTS

·        May meeting minutes were perused and accepted as read with pass of Charlotte M. and seconded by Donna P.

·        Treasurer’s Report—Marilyn D. brought Treasurer’s report later in the day. This is attached to the minutes.

·        Region 4 Representative report—Elinor C., Topeka not present, but her report was sent via email.  This is attached to these minutes.

·        WSO Representative Report—Stephanie S., Topeka, Ks not present and no report was available.

·        Group Representative Reports- Monday Topeka 7:00 pm—Melinda D. This meeting is a Big Book meeting with 5-7 present; Topeka Saturday 11:00 am-Donna P. meeting led by Judy S. is a relapse and recovery meeting with 2-3 attending; Topeka Wednesday 7:00 pm meeting has no Representative; The Thursday Topeka meeting at the Correctional Prison has been changed to Wednesday 6:00 to 7:00pm representative by Jean L. is little but more are possible.; Lawrence Saturday and Thursday meetings –no representative; Burlington Monday 7:00pm, Debra S reported the group is 3 years old with 5-6 attending, an AA 12×12 meeting being added once a month; Rescue Mission, Mary L. reports none regular, once in a while a person stops by. Other than that Judy K and Mary L have their own meeting; Manhattan Friday pm and Sunday pm report given by Jean L. and Charlotte M.  The Sunday meeting is the stronger; Holton—Representative Dana S. works on Saturday and not available to attend.

o   Public Information—chair and committee members needed. 

o   Charlotte, Manhattan stated there were errors of their meetings on Sunflower Intergroup website; Manhattan is considering an ad in the local paper to advertise their PO Box address, as they have learned that the women who originally formed OA did.  Janet asked they send her and Marilyn D., IG Treasurer with possible cost of the ad. 

o   Teresa Koppel, Region 4 Trustee requests Sunflower Intergroup consider having an OA exhibit at a professional conference at Kansas University, Lawrence, Ks for those who deal with overweight/obese people (event held in Overland Park, Ks. Doubletree Hotel Sept 8-11, 2010).  There would be some financial assistance.

o   Web site—Rick B., not present—Donna P said training is still in process and her and Elinor C.

o   Need to get Manhattan, Burlington and new Saturday Topeka meeting on new bookmarks (nothing was talked about who would be authorized to do this).

o   Charlotte M. suggested people in OA travel to smaller OA groups to encourage those in the groups.

·        Events

o   State Convention September 11, 2010

o   Greater Kansas City Area Intergroup Retreat Oct. 30-31, 2010 (Unmasking a Spooky Disease/12 Steps)

OLD BUSINESS

o   Payment for cards for Lit Table for Region Convention

o   Post office box reimbursement ($22.00) from Judy K and Elinor C which is needed for sponsors for Women’s Correctional Prison passed.

NEW BUSINESS

o   Opportunity as above is read.

o   Proposed IV Regional manual changes—passed

o   Guidelines for Sunflower Intergroup Events were tabled until the next meeting.  The OA Guidelines for Events from the World Service Office website were distributed for members to read before the next meeting.

o   Contribute to PI Institutional or budget for travel for Jean to and from facility.  Jean to submit the costs at the next meeting.

o   5-10 mins. Share time closed.  At that time Judy expressed her wrongs in leading the Retreat July 11, 2010

MARY L AND CHARLOTTE M READ THE STEPS AND TRADITIONS   

CONCEPTS 4&5 WERE READ ANDEXPLAINED BY JANET M.SEVENTH TRADITION WAS OBSERVED AND JUDY K PASSED OUT A SIGN-IN LIST. 

MEMBERS PRESENT WERE: Melinda D., Topeka Monday meeting Representative; Charlotte M., two Manhattan Meetings Representative; Marilyn D., Topeka, IG Treasurer; Debra S. Burlington, KS. Meeting Representative; Janet M., SI Chair; ;Mary L, Topeka, Rescue Mission Meeting Representative; Judy K. Topeka, SI Secretary; Donna P., Topeka, Topeka Monday Meeting Representative.

REPORTS

·        January 2010 Minutes were reviewed, questions asked and the Minutes were approved without corrections.

·        Treasurer’s Report—Marilyn D.,  presented the January and March statements and a future Sunflower Intergroup Budget in light of the 2009 expenses.  The January report was passed as corrected,  March  report was approved without corrections.  All of these are attached to this document.

·        Region IV Representative was passed around by Janet M. as Elinor C. was unavailable for the meeting.  This is attached. Elinor asked for SI paid for some of her expenses as Region IV Convention Chair.  There is a motion in the April Assembly Motion for Region IV paid for more of her expenses: registration, part of room and food expenses.   There was motion by Charlotte M. that we address this in the SI meeting in May, 2010.  This Convention will be held in Topeka June 18-20, 2010.

·        Group Representative Reports were as listed:  Topeka, Monday PM , Meeting—5 to 10 attendees; Topeka, Wednesday PM Meeting, Donna P.—very low 2 to 5 attendees; Topeka Saturday AM meeting, Carla F. was not able to attend this meeting—those in the IG meeting said attendance can be 12 – 14; Lawrence Saturday and Thursday meeting had no representative, therefore no report;  Burlington, KS. Debra S, group representative shared the meeting is growing and have 5-9 or more attendees.  The meeting is a Step and Tradition meeting;  new Saturday 11:00 am meeting is growing 5-10-12;  New Saturday 6:00 pm at Women’s Correctional Facility , Charlotte M. shared there are a few problems and may not live longer;  Rescue Mission 11:00 am meeting, Mary L. said it is still ongoing, but some issues to deal with;  Manhattan Friday 6:00 PM and Sunday 2:PM Charlotte M shared their attendance ranges from 6-14.  The meetings are OA book studies. The main issue seems to be Anonymity with the men attending these meetings.

·        Public Information

o       General PI—There was a motion to ask in the various groups for someone to replace Karel R.

o       Do we need to order the PL Manual?  A motion passed to wait until we learn Karel does not have one and there is someone who will replace her.

o       Website –Rick B. no report.  Donna P’s Training for the website is still pending.

o       A need to be sure that Manhattan, Burlington and the new Topeka Meetings will be listed on a new bookmark.  Rick will be asked to replace the current yellow bookmarks and list all meetings.

·        Events

o       OA Region IV Convention in Topeka June 18-20  (Elinor C. our Region IV Representative is the Committee Chair of the Convention

o       Kansas State Convention—September 11, 2010

OLD BUSINESS—NONE

NEW BUSINESS –

·        Nomination of New Co-Chair, Judy K. Nominated Charlotte M from Manhattan and spoke of the assets she has to fill this service part.  Charlotte accepted the nomination.  The SI will vote to accept her in the SI May 2010 Meeting.

·        Summer Retreat July 17, 2010.  The Retreat Committee asked to have permission to mail out the Registrations to Kansas groups and any group interested.  The mailing out of instead putting all info via internet seemed to

bring an excellent turnout last year.  Permission to mail out Registration forms to all groups was given.

NEW BUSINESS—

            HOLTON, MANHATTAN AND BURLINGTON ADDED TO HOTLINE.

POSSIBLE MEETING IN WOMEN’S PRISON—JEAN(FROM MANHATTAN)

IS ORGANIZING THIS.  THERE WILL BE A MEETING AT THE FACILITY NOV 18. 

 AT 2PM. VOLUNTEERS WILL BE TRAINED.  THE PLANNED MEETING WILL

ALWAYS BE ON SATURDAY.  POSSIBILITY OF 25 PEOPLE FOR A MEETING.

The meeting was called to order at 10:15 a.m. by Steph S. with the Serenity Prayer.  Concepts 9 & 10 were read.  Steps and Traditions were read.  The 7^th Tradition was observed.

• Janet M. provided copies of the Treasurer’s report. 
• Region IV Representative Report-Judy K had none to report.  Elinor expressed the desire to go to Assembly in October.

New Business

2010 Region IV Convention

Rick B. shared the information he has gained about hosting a Region Convention in 2010.  After some discussion, the members decided to submit a bid for hosting the 2010 Convention, possibly in Lawrence July 25-27, 2010.  Rick was asked to chair the committee that would bring this about.  Judy K said she could attend next three Assemblies, as requested by Cyndy, Region Chair

Secretary

Connie S was thanked for her excellent service as our Secretary.  We still need someone to step forward and assume the duties.
